The short version

PropertyPulse is a real estate transaction dashboard. We collect the information you give us when you sign up, the transaction data you enter, and basic usage data so we can run the product. We do not sell your data to anyone — ever. You can request deletion of your account and data at any time by emailing us.

What data we collect

We collect information in three ways: information you provide directly, information generated by your use of the product, and information from third-party services you connect.

Information you provide

When you create an account, we collect your name, email address, and optionally your phone number (used only for SMS updates you explicitly request). If you are an agent or lender, we may also collect your company name and license number. You may also upload a profile photo.

Transaction data

PropertyPulse stores the transaction information you enter: property addresses, milestone statuses, client contact details, notes, and update messages. This data is tied to your account and the accounts of clients you invite to a transaction.

Usage data

We collect standard web analytics including pages visited, features used, session duration, and browser/device type. This data is aggregated and used to improve the product. We use privacy-respecting analytics and do not fingerprint individual users.

Connected services

If you connect Gmail or Google Drive (optional integrations), we access only the specific data required for that feature — for example, reading emails related to a transaction. We do not read or store unrelated emails or files. You can revoke access at any time from your Settings page.

How we use your data

We use the information we collect to:

Power your transaction dashboard and keep it up to date
Send you notifications and updates you have opted into (email or SMS)
Allow agents to invite clients to view their transaction progress
Improve the product through aggregated usage analysis
Respond to support requests and account inquiries
Comply with legal obligations

We do not use your data for advertising, and we do not build advertising profiles.

Who we share it with

We do not sell your personal data to third parties. We share data only in the following limited circumstances:

Service providers: We use trusted infrastructure providers (cloud hosting, email delivery, SMS) who process data on our behalf under strict data processing agreements.
Within a transaction: Agents, lenders, buyers, and sellers who are added to the same transaction can see each other's names and the transaction data relevant to their role.
Legal requirements: We may disclose data if required by law, court order, or to protect the rights and safety of our users.

SMS and email communications

We send transactional notifications (milestone updates, reminders, digest summaries) only to users who have opted in. You can change your notification preferences at any time from your Settings page, or reply STOP to any SMS message to unsubscribe immediately. We do not send marketing messages without your explicit consent.

Data retention and deletion

We retain your account data for as long as your account is active. Transaction data is retained for 7 years after a transaction closes to support record-keeping requirements common in real estate. If you delete your account, your personal profile is removed immediately; transaction records are anonymized rather than deleted to preserve the integrity of shared transaction histories.

To request deletion of your account and all associated personal data, email us at [email protected]. We will process your request within 30 days.

Cookies

We use a single session cookie to keep you signed in. We do not use tracking cookies or third-party advertising cookies. Our analytics use a privacy-first, cookieless approach.

Security

All data is encrypted in transit (TLS) and at rest. Access to production data is restricted to authorized personnel only. We conduct regular security reviews and promptly address any vulnerabilities. No system is perfectly secure, but we take reasonable and industry-standard precautions to protect your information.

Children's privacy

PropertyPulse is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. When we make significant changes, we will notify you by email or via an in-app notice at least 14 days before the changes take effect. Your continued use of PropertyPulse after the effective date constitutes acceptance of the updated policy.
